A real call

How it handles a real HVAC call.

A no-cool call at 8:47 PM on a Saturday. Your shop's closed. The AI isn't.

(717) 555-0142 · Saturday 8:47 PM Answered in 2 rings
AIThanks for calling [Your Shop], this is Alex. How can I help you tonight?
CallerMy AC is blowing warm air and the house is 86 degrees. My kid has asthma.
AII'm sorry, that sounds urgent. Let me get someone out to you. Is this at 4712 Oak Hollow Drive? And is the outside unit running, or has it stopped entirely?
CallerYeah that's the address. Outside unit is running but just blowing warm.
AIGot it, sounds like a refrigerant or compressor issue. I have an on-call tech available tonight for a $189 after-hours dispatch, or I can schedule a 7 AM first call tomorrow at standard rate. Given your son's asthma, do you want me to get someone out tonight?
CallerTonight please.
AIBooked. Tech Marcus is on his way. Anything else?

Built for HVAC

Built for the way HVAC shops actually run.

Not a generic answering service. Specific HVAC logic baked in.

No-cool & no-heat triage

Asks the right questions about system age, outdoor unit status, and thermostat behavior, so your tech rolls with the right parts, not a second truck.

Emergency vs. maintenance routing

Emergency jobs page the on-call tech. Tune-ups schedule next-available. Members get prioritized slots. Your rules, enforced automatically.

Service-area filtering

Caller 90 miles out? The AI politely declines and offers a referral. You don't eat a wasted truck roll.

Maintenance & membership capture

Recurring revenue lives in maintenance plans. The AI recognizes existing members by phone number, offers memberships to new callers, and prompts opt-in for annual tune-up reminders.

Warranty & repeat-customer recognition

An existing customer calls in. The AI recognizes them, pulls last-job details, flags any work still inside the warranty window, and routes to the original tech.

Overflow + after-hours modes

Works alongside your CSR. Picks up when your team is on another call, at lunch, or after hours. Or run it around the clock and skip hiring. Your choice.

Integrations

Works with your tools.

We book into your calendar today, and we can connect most other tools through their API.

HVAC FAQ

The stuff HVAC owners ask.

Does it actually book the job, or just take a message?+

It books. The AI qualifies the caller and books the appointment into your calendar (Cal.com or Google), and we can connect most other tools through their API. It's not just a message taker.

What happens to my phone number if I cancel?+

Your number is yours. It ports back to you on cancellation, free. We never hold numbers hostage.

How does emergency routing work?+

You tell us your emergency rules (no-heat in winter, no-cool above a set temp, CO alarm, etc.). The AI detects the keywords, pages your on-call tech with caller info and address, and confirms the booking with the caller before the call ends.

What about peak-season surge?+

The system handles concurrent calls. No queue, no hold music. Core covers up to 200 calls a month, Growth 750, and Scale up to 2,000, with higher volume scoped to your operation. Overage is charged per call with no surprise bills, and you get an alert at 80% of your cap.

Can it quote prices?+

We configure your standard service call, dispatch fee, diagnostic fee, and membership pricing into the AI. For repair estimates it says the tech will give an exact quote on site, same as a human CSR would.

Are calls recorded? Who owns the data?+

Yes, calls are recorded with the TCPA-required disclosure at the start. All recordings, transcripts, and caller data are yours, with full export on cancellation. Default retention is 90 days, configurable.
